Job description

In this Payroll Administrator graduate job, you will be joining a renowned commercial contracting business based in Teddington. Reporting to the Payroll Manager, you will be dealing with inbound invoicing requests, updating pay and details in the system, as well as working to provide an exceptional level of customer service at all times. You will need to be both adaptable and organised, as you will be expected to take on a range of different duties – ensuring that everything relating to payroll is running smoothly and efficiently.

Key responsibilities

In this Payroll Administrator graduate job, your responsibilities will include:

  • Answering incoming phone calls from clients and workers
  • Checking the bespoke software for pay information, updating details and leaving detailed diary notes in records
  • Dealing with inbound emails from clients for invoicing requests
  • Adding information to the client tracking spreadsheet and keeping the team informed
  • Dealing with other emails from workers requests for P45 / P60 / SOEs
  • Marking up all hours on hold, and releasing them by the agreed deadlines
  • Completing DWP paperwork
  • Daily / hourly downloads of HMRC Gateway notifications
  • Producing system invoices / credits via the invoicing procedures
  • Timesheet prelist – this needs to be checked daily and all queries and issues dealt with accordingly
  • Matching and releasing timesheets for payrolls
  • Trialling the payroll and checking for any anomalies
  • Running a payroll – remembering to include all steps for reporting and processing
  • Checking and inputting backdated VAT
  • Dealing with and processing HOH
  • Processing payroll adjustments

So, what are we looking for?

  • A solid academic background, preferably with a relevant degree
  • A hardworking and self-motivated attitude - someone who is not averse to rolling up their sleeves and getting stuck in!
  • Some customer service or administration experience would be a plus
  • An excellent phone manner and good general communication skills
  • Experience working in a fast-paced customer service role would be beneficial
  • The ability to multitask and stick to deadlines is paramount - you will be dealing with a huge number of inbound calls and queries
