Job description

In this graduate Operations Administrator role in London, you will be working in an extremely varied role alongside the senior leadership team. This role is integral to the smooth running of day-to-day back-office business operations and will include a large amount of administrative and operational tasks. You will work closely with the senior leadership team to support all sales operations functions, from scheduling a high volume of meetings with new business prospects, to creating and raising invoices, as well as CRM management. This role is suited to someone with high attention to detail, who enjoys administrative duties and is keen to get stuck into all areas of the business.

Key responsibilities

In this Graduate Operations role in London, your responsibilities will include:

  • Inputting prospective client data into the CRM system and scheduling outbound marketing email campaigns to increase new client sign-ups
  • Responding to all inbound sales enquiries (phone, email) and ensuring all prospective clients receive a response
  • Scheduling meetings between engaged prospects and the CEO/Managing Director to drive new business opportunities
  • Creating and distributing client documentation post meetings, such as terms and conditions and sales brochures, as well as scheduling follow-up meetings
  • Taking ownership of all sales administration, such as ensuring all client-based data is accurate and up-to-date across all internal systems (e.g. company addresses, contact details, terms & conditions, fee agreements)
  • Creating, raising, and managing all internal and external invoices
  • Liaising with internal teams regarding invoice queries and ensuring all invoices are distributed correctly and in a timely manner
  • Supporting with adhoc payroll administration requests such as logging timesheet data on a weekly basis
  • Answering inbound calls from the mainline and directing calls to relevant people within the business

Job requirements

  • A 2.1 or above from university
  • Strong verbal and written communication skills
  • Strong MS Office skills including, Word, Excel, and PowerPoint
  • Excellent attention to detail and comfortable working in a fast-paced environment
  • Experience working in an administrative role is desirable
  • A great work ethic twinned with an excellent academic or commercial track record
  • Commercial maturity - this role requires someone with initiative and the ability to think on your feet
  • Super organised, reliable & great time management skills
