Job description

In this Operations Executive graduate job, you will work on a 1-1 basis with the CEO to ensure that his diary is kept organised and manageable. Alongside a range of other tasks, you will also be coordinating worldwide travel arrangements, attending networking events and delivering operational efficiency across the business. You will need to have a sound attention to detail, be hugely proactive and have bags of initiative - as your role will require you to always be one step ahead, working to ensure that processes are always completed efficiently.

Key responsibilities

In this Operations Executive graduate job, your responsibilities will include:

  • Coordinating and owning the back-to-back diary of the CEO, and making sure that everything runs smoothly
  • Extensive global travel coordination - including taxis, flights & hotels
  • Organising nationwide conferences and meetings while coordinating activities of multiple teams across our departments and external suppliers
  • Attending networking events and liaising with key major players in the sector
  • Overseeing new joiners and leavers in their transition, from equipment to forms
  • Tracking expenses and reconciliations for CEO as well as managing expense approvals for direct reports
  • Assisting with expenses and travel administration for other senior leads
  • Conducting market research for business meetings for the CEO
  • Assisting in preparing great looking PowerPoint presentations
  • Undertaking general office management tasks / ad hoc tasks across the business

Job requirements

  • A 2.1 from a top university
  • Previous experience in a PA / EA / Team Assistant role
  • Exceptionally well-organised and switched on
  • A willingness to learn and to get stuck in from day one
  • Fantastic attention to detail
  • Impeccable written and verbal communications skills
  • A self-starter with the drive to succeed
  • Proficiency in Microsoft Word and Excel
  • A second language (Dutch, German, Swedish, Norwegian, Danish or French) would be beneficial
