Job description - Executive Assistant

As an Executive Assistant and Events Manager, your time will be divided between two areas: providing assistance to the CEO and supporting on both internal and external events, overseeing them from conception through to completion. You will work closely with others in the company to identify their needs and ensure everything is run to a high standard. The ideal candidate will have a calm and level head and the skills necessary to manage several projects at once and maintain the highest level of attention to detail when under pressure.

Being a natural team player, you will have a knack for building relationships and collaborating seamlessly with everyone you work with. You must be able to work independently and manage your time responsibly. You will have strong administration and business operations capabilities, including excellent verbal and written communication skills

Key responsibilities - Executive Assistant

In this Executive Assistant job, your responsibilities will include:

  • Managing calendars and booking meetings

  • Processing receipts and expenses

  • Arranging for resources and supplies to be ordered and delivered as needed by team members

  • Handling day-to-day staff administration matters such as booking holiday leave

  • Organising travel and accommodation for team members as required

  • Managing events from conception through to completion with a high standard throughout
  • Working closely with stakeholders within the company to identify the many requirements for each event
  • Researching and booking suitable venues, catering and suppliers
  • Providing logistical support for external events where the company is presenting
  • Working with key stakeholders to submit external event applications
  • Tracking events and projects key performance areas and identifying items to work on in the future
  • Negotiating with vendors and suppliers to achieve the most favourable terms
  • Keeping project stakeholders informed and on track
  • Writing effective content to help keep clients and delegates informed

Job requirements - Executive Assistant

  • A minimum of 2.1 from university
  • 2+ years experience in an Executive Assistant or Office Assistant role
  • Experience organising and coordinating events
  • Experience in workshop facilitation and/or presenting is preferable
  • Proficient in Microsoft Office
  • Excellent vendor and supplier management skills
  • Outstanding communication and negotiation ability
  • Well-organised with great multi-tasking skills
  • Problem-solving ability
  • Ability to work independently
