Job description - Executive Assistant

In this Executive Assistant opportunity in London, you will be responsible for providing comprehensive organisational, administrative, and programme support to the EMEA team. The core objective is to provide support to the EMEA team in delivering their individual and group objectives. You will be given a range of responsibilities, and work closely with all team members at every level, from consultant, to partner, and even director level. You’ll assist the founder, organise board meetings, manage the office and diaries, create and produce written content, and support the team - you will need to be able to manage your time effectively in order to assist with the day-to-day running of the business. To be successful in this role it is essential that you are confident, proactive, determined, and incredibly organised - you will be the point of contact for multiple stakeholders, dealing with CEOs and directors on a daily basis as well as directly supporting the founder.

Key responsibilities - Executive Assistant

In this Team Assistant Graduate role in London, your responsibilities will include:

  • Supporting the EMEA team and all its members with a range of tasks and projects, including planning tasks for the week ahead with documented shortlists and longlists
  • Extensive inbox & diary management
  • Ensuring effective use of time and preparation of information in advance
  • Scheduling internal and external (client/candidate) telephone calls, video/telephone conference calls and face-to-face meetings, and all other scheduling for live assignments
  • Administrative support, including preparing and drafting correspondence, booking meeting rooms/video meetings, minute-taking, and supporting meetings
  • Data entry and management on the CRM system
  • Business growth support: collation and preparation of pitch/creds materials, proposals, terms and conditions/contracts
  • Support GB EMEA’s marketing and business development activities, which includes publishing content on the website and other social media platforms
  • Having a detailed knowledge of all the current live searches and projects, and keeping up to date with all activities in the firm
  • Taking ownership of content and document creation for searches, as well as editing of all documents

Job requirements - Executive Assistant

  • A 2.1 from a good university
  • Previous experience/internships in the commercial capacity are desired
  • More established Executive Assistant experience is also welcome, and salary can be flexible if you possess this
  • Exceptional communication skills, excellent spelling and grammar, with the ability to produce and edit written copy - this will be a key responsibility
  • A passion for Executive Search, or Media, Marketing & Communications
  • Extremely organised and diligent with exceptional attention to detail
  • Independent and confident in using initiative to plan your day and organise your tasks
  • Eagerness to work proactively and take the day-to-day lead in supporting the wider team with account activity and ad-hoc tasks
