Job description - Executive Assistant

In this Executive Assistant opportunity in London, you will be reporting to the Head of Projects and will provide daily support within a fast-paced startup environment. You will be an experienced administrator, ensuring that there is a clear line of communication between the Delivery team and the rest of the business as well as allowing internal teams to focus on core functions (the delivery of fit-outs and maintenance projects).

You will be working on a wide variety of tasks, which range from following up on inbound inquiries, to assisting with day-to-day communications. You will need to have excellent attention to detail, ensuring new listings are always correctly presented on the website, any updates are accurately executed, and that the onboarding of new agents is effectively managed.

The successful candidate will enjoy managing a busy workload and will have brilliant communication skills, with an ability to build rapport effortlessly. A key responsibility of this role includes holding stakeholders accountable, so you must feel comfortable asserting yourself where necessary.

Key responsibilities - Executive Assistant

In this Executive Assistant job in London, your responsibilities will include:

  • Supporting the Facilities Management team on the ticketing system
  • Leading in structuring our own central database, a repository where all standard key documents are carefully organised and archived.
  • Building a tracker to assess progress on gathering all project-related documentation and report weekly to the Head of Delivery.
  • Supporting Projects Managers by issuing Purchase Orders on their behalf and conducting online orders.
  • Actioning ad-hoc add-ons requests for tenants under the supervision of the Project Manager.
  • Creating a health and safety tracker in collaboration with the Facilities Management team and report weekly to the HoD.
  • Supporting the HoD in data analysis, reporting, and structuring.

Job requirements - Executive Assistant

  • Ideally 1 years experience in an administrative role - e.g Executive Assistant or Team Assistant
  • Proficient with Google Suite and Microsoft Office
  • Able to take direction but also unafraid to scrutinise processes and suggest improvements and drive them home
  • Highly organised, focused, and disciplined with the ability to prioritise effectively in a busy environment
  • Energetic and hardworking
  • Experience using PO systems and raising POs would be an added bonus (not mandatory)
  • Self-motivated, taking the initiative
  • Comfortable with technology, processes, and systems
