Why I chose to work at Give A Grad A Go

I’d applied for a few roles through Give A Grad A Go, but wasn’t exactly sure what I wanted to do. I came in to visit the team to discuss what kinds of graduate jobs my skills would be best suited to, and I really liked the atmosphere in the office. Although I’d never really considered a career in graduate recruitment before, when I spoke to the team about the possibility of a job here I thought that it sounded like something I’d be good at – and here I am!

The worst job I've had

I held a job doing door-to-door sales for a number of different charities. Hopefully I learnt something from the late evenings cold calling in the rain!

In this Executive Assistant job, you will be working as an assistant to the Head of Technical, in an extremely varied and changeable role. Your duties will be defined by the requirements and needs of the Head of Technical – but can expect to include arranging meetings, diary management, organising travel arrangements and the payment of invoices. You will need to be proactive and highly adaptable, as flexible working hours are expected when the Head of Technical is overseas to account for time zones.

Key responsibilities

In this Executive Assistant job, your responsibilities will include:

  • Extensive and efficient proactive diary management of business and personal appointments, arrangements and commitments for the Head of Technical and senior technical team members
  • Arranging external and internal meetings, such as theatre, concert, dinners and lunches as required – as well as conducing follow-ups
  • Efficiently managing and co-ordinating all ad hoc administrative requests for the Head of Technical, including a level of personal work, all with the utmost efficiency and discretion
  • Organising worldwide travel arrangements for the entire technical team, including all e-tickets, itineraries, cars and visas when necessary
  • Being on call while team members are travelling in the event that flight changes are required
  • Managing the payment of all invoices relating to travel and professional business of the Head of Technical
  • Liaising with staff from all business entities connected to the Head of Technical on a daily basis
  • Building, developing and maintaining relationships with the Head of Technical’s key contacts, as well as responding to enquiries by post, telephone and emails
  • Acting as the first point of contact and gatekeeper for all calls to the Head of Technical
  • Secretary of Management Review (taking minutes, action point follow ups and presentation preparation for monthly management meetings)
  • Providing full secretarial support, including filing, retaining documents, dealing with all correspondence, and drafting replies

So, what are we looking for?

  • 4 years’ + experience as an Executive Assistant / Personal Assistant
  • Excellent communication and secretarial skills
  • A friendly and well-organised individual with the ability to multi-task in a high pressure environment
  • An unflappable and resilient attitude
  • A proactive forward thinker
  • The ability to perform well under pressure with a large demanding workload
  • Team player, happy to work outside remit when needed
  • Excellent MS Office skills
  • Knowledge of the shipping industry would be a bonus!

  • Playing a key role in the audit process, gathering information and taking part in audit meetings
  • Generally ensuring there are no surprises for management regarding the financial performance of the business

So, what are we looking for?

  • A 2.1 from a top university, ideally in accounting, finance or mathematics
  • Candidates that have completed or are close to completion of an ACA or ACCA qualification would be highly desirable
  • Strong drive to gain accounting experience, learn and be hands-on - please note, you will not be sponsored to complete further study in this role
  • Working knowledge of VAT computations
  • Knowledge of payroll processing
  • Advanced Excel skills
  • Experience of creating financial statements for inclusion in reports
  • Previous work experience as an accountant, either with an accounting firm or outside is a plus
  • A willingness to take on a broad and evolving role that at times will require you to be extremely hands-on
