The worst job I've had

In this Executive Assistant graduate job, you will be joining a pioneering London-based tech startup, who are set to become the first vertically integrated florist software company. They offer a superior online flower-buying experience for their customers, all while developing their new software. Since launching in 2016, they have been voted in the Top 100 UK Startups two years in a row and as their business continues to grow across the UK and US, they are looking for a fantastic Executive Assistant to join their team.

Job description

In this Executive Assistant graduate job, you will be supporting the CEO and the rapidly growing team with the day to day running of the business. You will need to be a masterful problem-solver and an organisational force; as you'll be given a wide range of duties including complex calendaring, travel planning and office administration. You will need to be an excellent communicator, resourceful in building relationships across the company ecosystem, as well as having great technical skills.

Key responsibilities

In this Executive Assistant graduate job, your responsibilities will be:

  • Extensive diary management, including organising internal and external meetings
  • Financial administration, e.g. processing POs, CEOs expenses & company invoices
  • Minute taking at weekly meetings and board meetings
  • Working with the CEO to execute on tasks that need support
  • Organising events for both internal parties / or florist workshops and events (this will be a core part of the role, so past event organisation will be useful)
  • Organising team offsites or office moves when necessary
  • Communicating with internal and external parties, while exhibiting the highest degree of professionalism, courtesy and diplomacy
  • Ensuring that email lists, org charts and other administrative systems are maintained and current
  • Assisting with new starter setup and leaver check lists
  • Undertaking special or other ad hoc projects as required
  • Drafting and formatting responses to memos, letters and documents
  • Always exercising absolute discretion

Job requirements

  • A minimum of a 2.1 degree from a good university
  • Exceptional organisational and analytical skills
  • Technically minded, comfortable using a CMS and other management softwares
  • The ability to capture complex concepts and convey them in a simple manner
  • The ability to perform in a highly dynamic and fast-paced environment
  • A team player!
  • Someone who can take initiative and be proactive
  • A high level of attention to detail and accuracy - you must exhibit flexibility, prioritisation skills and the ability to multi-task
